Finance & Administration Coordinator, México

POSITION SUMMARY AND PURPOSE
The Finance & Administration Coordinator is a member of the Global Finance and Administration team. This position will provide coordination in financial and office administration for the IYF México office.

SUMMARY DESCRIPTION
The Finance & Administration Coordinator will be a part of a global finance team, mainly supporting and working beside the Finance & Administration Manager. The ideal candidate will be dynamic, collaborative, and detail driven. The individual should have strong communication skills and hold a commitment to our global mission. This full-time position will be based in Mexico City, Mexico.

PURPOSE
The Finance & Administration Coordinator is a member of the Global Finance and Administration team. This position will provide coordination in financial and office administration for the IYF México office.

RESPONSIBILITIES
Finance

  • Ensure accuracy and completeness of supporting documentation, as well as help with ensuring compliance and consistency with established policies and procedures.
  • Maintain finance files and other documentation serving as evidence of transactions.
  • Support compliance with donor requirements; e.g. maintaining logs, scanning receipts and uploading files to required portals (e.g. IYF, Dropbox, etc.)
  • Maintain petty cash fund and serve as custodian.
  • Coordinate procurement activities in accordance with IYF procurement policy, obtain quotes and offers, prepare cost and quality analyses, and draft procurement instruments (e.g. purchase orders and contracts).
  • Coordinate contracting activities in accordance with IYF contracts policy, obtain documents from contractors, maintain contract tracker, initiate contract process for new contracts and amendments, interfacing with service providers and ensuring signed contracts are saved in files.
  • Provide assistance to Finance & Administration Manager in budget preparation, cash flow forecasting and cash management, as needed.
  • Help with completion and delivery of pay slips for Mexico Office employees.
  • Perform other duties as assigned.

Office Administration

  • Coordinate all matters related to the administration of the México office, including annual returns and filing requirements to maintain IYF registration in good status.
  • Coordinate with Finance & Administration Manager in managing the office lease to make sure it is current, and amendments are processed as required.
  • Assist Finance & Administration Manager in the coordination with the local information technology contract.
  • Provide logistical support for program activities, events and workshops.
  • Coordinate travel itineraries, airfare ticketing, hotel reservations and other travel logistics for staff, visitors and consultants.
  • Manage the office supply inventory and order new supplies on quarterly basis.
  • Assist with office space and equipment maintenance and repairs as needed.
  • Maintain updated staff directory and office calendars.
  • Maintain México office files. Create, update and maintain a filing system for project reports, briefs, brochures and other project related documents for quick reference and easy accessibility. It includes maintain files.
  • Other duties and tasks as assigned by the Finance & Administration Manger, providing assistance and support to other México office staff members.

REQUIRED EXPERIENCE AND QUALIFICATIONS

  • A Bachelor’s degree in Accounting/Finance or related. 1-2 years relevant work experience and proficiency in MS Office, especially Excel, Word, and Outlook.
  • Strong attention to detail, accuracy and analytical skills.
  • Ability to perform in a dynamic, high-pressure environment.
  • Effective verbal and written communication, organizational and prioritization skills.
  • Excellent written and oral English and Spanish language skills.
  • Commitment to youth development and a values-driven work environment.
