Administrative Assistant - Tanzania

Position

To provide overall operational and logistical support to the IYF Tanzania project activities inclusive of secretarial, logistical and other required administrative support. Provide support to IYF Country Director/EAYPI Project Director and Bridgeit Chief Advisor, and its office staff, visitors and consultants.

Responsibilities

  • Coordinate travel itineraries, airfare ticketing, hotel reservations and other travel logistics for staff, visitors and consultants.
  • Handle all in-coming telephone calls, distribute mail and route to appropriate staff for action, information or follow up.
  • Schedule and coordinate meetings, special events and workshops for staff, project related visitors, teachers and partners, as needed.
  • In coordination with the Grants/Contracts Manager, manage stock of office supplies for IYF Office and assist in ordering new supplies.
  • Coordinate office space and equipment maintenance and repairs as needed.
  • Other duties as assigned.
Program specific tasks
  • Provide ongoing operational and logistical support including secretarial support to the IYF Field Office, Bridgeit Project and the EAYPI project.
  • Create, update and maintain a filing system for Bridgeit and EAYPI project reports, briefs, brochures and other project related documents for quick reference and easy accessibility.
  • Maintain contact databases and office calendars.

Supervisor
50% - IYF Country Director/EAYPI Project Director
50% - Chief Bridgeit Advisor

Qualifications

  • 2-3 years of related job experience with a local or international NGO.
  • Oral and written English fluency is required.
  • Ability to translate routine documents from Kiswahili to English
  • Communication skills must be effective and courteous, requiring high integrity.
  • Ability to work in a team and possess strong interpersonal skills
  • Excellent time management and organizational skills; ability to prioritize, multi-task and follow through to completion.
  • Must possess computer skills using MS Office Suite.
